Apollo Safety Ltd (“Apollo Safety”, “we”, “us”, “our”) provides health and safety consultancy services and online training courses. This policy explains what personal data we collect through apollosafety.co.uk, why we collect it, and what rights you have over it.

Information we collect

When you contact us. If you use our contact form, we collect your name, email address, subject and the message you send us. We use this to reply to your enquiry and, where relevant, to prepare a quote or proposal for our services.

When you use our e-learning or customer portals. Our training courses and account management run through separate platforms (an e-learning portal and a customer portal). To set up your account and deliver training, we collect information such as your name, work email, employer, course progress and certificates. These platforms are operated on our behalf by third-party providers, who process this data under our instructions and their own security and confidentiality commitments.

When you browse our site. Like most websites, we use cookies and similar technologies to run the site, remember your preferences, and understand how visitors use it. Strictly necessary cookies are set automatically; preference, statistics and marketing cookies are only set with your consent, which you can give or withdraw at any time through the cookie settings link in the site footer. Why we process your data

We rely on the following legal bases under UK GDPR:

  • Legitimate interests – to respond to enquiries, run and improve our website, and keep our services secure. We consider our legitimate interests carefully against your rights before relying on this basis.
  • Contract – to provide training, consultancy and account access once you’ve engaged us as a client or trainee.
  • Consent – for non-essential cookies and any marketing emails, which you can withdraw at any time.
  • Legal obligation – where we need to keep records for accreditation, audit or regulatory purposes (for example, evidencing completed training).

Who we share it with

We don’t sell your data. We share it only where necessary, with:

  • our e-learning and customer portal providers, who host and run those platforms for us
  • IT, hosting and email service providers who support our website and business systems
  • accreditation and certification bodies, where needed to verify or issue qualifications
  • professional advisers (accountants, solicitors, insurers) and regulators, where the law requires it

Where a provider is based outside the UK, we put appropriate safeguards in place, such as the UK’s International Data Transfer Agreement or an adequacy finding, before any data is transferred.

How long we keep it

We keep enquiry and contact form data for as long as needed to deal with your enquiry and for a short period afterwards in case you get back in touch, then delete it. Client and training records are kept for the length of our contract with you plus a further period to meet accreditation, insurance and legal record-keeping requirements (typically up to six years). Cookie data is retained for the period shown against each cookie in our Cookie Policy.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct inaccurate or incomplete data
  • ask us to delete your data, or restrict how we use it, in certain circumstances
  • object to processing based on legitimate interests
  • ask for your data to be provided to you, or another organisation, in a portable format
  • withdraw consent at any time, where we rely on consent

Keeping your data secure

We use appropriate technical and organisational measures to protect your data against unauthorised access, loss or misuse, and we require the same of any third parties who process data on our behalf.

Children

Our services are aimed at businesses and individuals in employment. We don’t knowingly collect personal data from children.

We may update this policy from time to time, for example if our services or the law changes. We’ll post any changes on this page with an updated date at the top.
